Simplifying Access to a Vast Knowledge Base
IKW, the Industrieverband Körperpflege- und Waschmittel e.V. (IKW), which translates to the German Cosmetic, Toiletry, Perfumery and Detergent Association, is a large international association representing manufacturers and distributors in the cosmetics, toiletries, perfumery, and detergent industries. IKW maintains a broad collection of manuals, seminars, training materials, and internal documents vital to its members and staff. However, much of this content resides behind login-protected sections and spans hundreds of thousands of pages, making navigation time-consuming and the existing search tools imprecise. Support teams were burdened with answering repetitive questions and locating documents buried deep within the platform. IKW sought a modern AI assistant to provide accurate answers directly from its knowledge base, simplifying access, reducing manual effort, and offering a faster, more intuitive way for users to work with the organization’s information.
Building a Complete Data Pipeline and a Retrieval-Augmented Chatbot
We began by creating a reliable data pipeline tailored to IKW's specific needs. A custom crawler was developed to securely collect and structure content from the association’s protected portal, as well as gather text, metadata, linked assets, and relevant information from their public website and social channels. This process formed a unified and well-organized knowledge corpus. On top of this data foundation, we developed a retrieval-augmented chatbot based on modern open-source language models. The system identifies relevant documents for each query and generates responses grounded in IKW's own material. Integration was streamlined by delivering the chatbot as a plug-and-play JavaScript module, allowing seamless embedding into the secure portal without requiring backend changes. Users can now ask natural-language questions and receive precise, context-aware answers drawn directly from IKW's content. The solution includes indexing, embeddings, ranking, answer generation, and lightweight admin tools for monitoring and future updates.
A More Efficient, Intuitive, and Scalable Knowledge Experience for IKW Members and Staff
The AI assistant has reshaped how members and staff interact with IKW's knowledge base. Information that once required complex navigation or staff intervention is now instantly accessible. As a result, repetitive support requests have decreased, and users benefit from consistent, accurate answers reflecting the organization’s official documentation. IKW has gained a scalable platform for future AI features, such as multilingual access or automated summarization, and now possesses a clear structure for maintaining and expanding its knowledge base with confidence. This project demonstrates the breadth of our involvement: data collection, data engineering, AI modeling, retrieval design, and seamless front-end integration, resulting in a secure and modern knowledge interface that simplifies access to a large information landscape for IKW's members and staff.
